Wish to make your spreadsheets easier to read? Well, you can do this by alternating the colors between the rows of your spreadsheet. Want to know how to do it? Don’t worry. Here I have provided a simple step by step guide that will help you to color alternate rows in Microsoft Excel.
Conditional formatting is a default feature in Excel, which will allow you to shade alternate rows to improve the readability of your spreadsheet using a modulus function. And the process is commonly termed as Color Banding in excel.
Steps To Color Alternate Rows In Microsoft Excel:
Step 1: To get started, first open up your Microsoft Excel and select the cells for which you wish to apply color banding. Else select the entire spreadsheet by pressing Ctrl + A on your keyboard.
Step 2: In the menu bar, under Home tab, select Styles -> Conditional Formatting.
Step 3: Select “New Rule” from the drop-down menu.
Step 4: This will now open up the “New Formatting Rule” dialog box. Select the last option from the list of available options.
Step 5: Now under “edit rule description” enter the following formula:
Step 6: To select the background color, click “Format.” In the Format Cells dialog box, navigate to Fill tab and choose a color to fill. Once done, lick “OK.”
Step 7: Double check the preview in the new formatting rule dialog box and click “OK.”
Step 8: The selected range of cells will now be color banded.
That’s it. You have finished color banding in your MS excel sheet. If you wish to modify the rule, i.e., if you wish to change the color or want to add some more rows to the rule, follow the steps given below.
Step 9: Highlight the new cells, and select Styles -> Conditional Formatting -> Manage Rules under the Home menu.
Step 10: Conditional Formatting Rules Manager window will open up. In that choose the rule and click “Edit Rule.”
Step 11: Now you will be taken back to the Edit Formatting Rule Dialog box. With the “Format” button in the bottom right corner, you can now modify the rule as per your wish.
